Receptionist/Office Assistant

We are currently seeking an organized, energetic, self-motivated, detail-oriented, and responsible Receptionist/Office Assistant whose primary duties include, but are not limited to:


  • Providing receptionist/office support to ensure efficient operation of the office.

  • Answering and directing phone calls, scheduling meetings, and supporting visitors.

  • Carrying out office assistant duties such as maintaining filing system, typing, copying, binding, scanning, etc.

  • Writing and distributing e-mails, correspondence memos, letters, faxes, and forms.

  • Completing operational requirements by scheduling and assigning administrative projects and expediting work results.

  • Exhibiting polite and professional communication via phone, e-mail, and mail.

  • Supporting the team by performing tasks related to organization and strong communication.

  • Maintaining office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.

  • Contributing to team effort by accomplishing related tasks as needed.

  • Maintaining the company’s databases.

  • Preparing vendor invoices for internal approval.

  • Ordering, verifying, and issuing Certificates of Insurance.

  • Preparing and submitting all insurance claim forms.

  • Maintaining E-ZPass tags and accounts.

  • Reviewing parking summonses. Preparing and submitting hearing correspondences.

  • Providing administrative support to the Service and Construction Departments on an as-needed basis.

  • Other duties as assigned.

  • High School diploma or equivalent; related undergraduate education preferred.

  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat.
