Administrative Assistant/Office Administrator

An Administrative Assistant/Office Administrator is the driving force behind both, and we are currently seeking an exceptional candidate to assume this role. The ideal candidate will be a problem-solver with excellent communication skills and attention to detail. Also, the candidate must have experience working in an office environment, executing administrative tasks, and assisting coworkers. An ability to multitask, manage time, and meet changing deadlines is essential to the position.

Objectives of this role:

  • Provide administrative support to ensure the efficient operation of the office.

  • Serve as the office's eyes and ears, providing information and responding to questions and requests.

  • Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance.

  • Facilitate workflow by coordinating internal and external resources.

  • Manage and accomplish organizational objectives while adhering to best practices.


  • Provide front-desk coverage by managing  a busy, multi-line phone system, greeting guests as they enter the office, handling incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.

  • Provide administrative support to ensure the efficient operation of the office.

  • Maintain filing system, contact database, employee list, and inventory.

  • Write and distribute e-mails, correspondence memos, letters, faxes, and forms.

  • Prepare vendor invoices for internal approval.

  • Order, verify, and issue Certificates of Insurance.

  • Prepare and submit all insurance claim forms.

  • Review parking summonses, and prepare and submit hearing correspondences.

  • Other duties as assigned.

  • Strong work ethic.

  • High School diploma or equivalent; related undergraduate education preferred.

  • At least three (3) years of experience in the field or a related area.

  • Proficient use of the computer, keyboard functions, and Microsoft Office, and an aptitude for learning new software and systems.
